Role Overview:

We are seeking a detail-oriented PEO Controller to manage all financial reconciliation activities for our PEO services. The role is critical in ensuring accurate and compliant quarter-end reconciliation, tax filings, benefit payments, and client invoicing. The ideal candidate will have deep experience with PEO accounting, a strong understanding of tax regulations, and exceptional reconciliation skills. You will be responsible for ensuring that deductions for taxes, benefits, and salaries align with payments made to tax agencies, carriers, and clients, while also managing amendment filings and client refunds.

Key Responsibilities:

  • Manage Accounting Functions: including maintenance of general ledger, accounts payable, accounts receivable and cash

  • Quarter-End Reconciliation: Manage quarter-end reconciliation processes for all PEO financial activities, ensuring all payroll, tax, benefits, and client deductions align with payments made to agencies and vendors.

  • Amendment Filings: Prepare and submit amendment filings as required to correct any discrepancies or issues identified during the reconciliation process.

  • Tax Deductions & Remittances: Ensure all tax deductions are accurately calculated and that payments to tax agencies match the total deductions taken from employee wages and client invoices.

  • Benefits Reconciliation: Reconcile benefit deductions against premiums paid to carriers, ensuring all client contributions and employee deductions are accurately processed.

  • Client Invoicing & Credits: Review and ensure client invoices accurately reflect payroll, tax, and benefit costs. Execute any required refunds for client credits due to overpayments or tax refunds received by Deel from PEO-level tax agencies.

  • Underpayments & Refunds: Identify and correct underpayments by submitting necessary remittances to agencies. Process refunds to clients for overpayments or credits.

  • Compliance Assurance: Ensure all financial activities are in full compliance with applicable tax and accounting regulations, including but not limited to company registrations, corporate tax filings and conformity with Federal, state & other governmental agency requirements

  • Data Integrity: Maintain accurate and organized financial records for all transactions related to taxes, benefits, and payroll for the PEO division.

  • Reporting: Provide regular updates and detailed reports to the Finance Manager on reconciliation status, filings, amendments, and any outstanding payment issues.

  • Cross-Functional Collaboration: Work closely with payroll, legal, and operations teams to ensure all financial activities align with operational processes and legal compliance.

  • Process Improvement: Identify areas for improving reconciliation and financial processes to enhance accuracy, reduce errors, and ensure timely filings and payments.

Key Qualifications:

  • 5+ years of accounting experience in a PEO, payroll, or related industry.

  • Strong understanding of PEO-specific financial reconciliation, tax filing processes, and benefit payment management.

  • Experience in preparing and filing amendment filings for tax discrepancies or issues.

  • Exceptional attention to detail, with a focus on ensuring accuracy in deductions, payments, and client invoicing.

  • Strong knowledge of accounting principles and financial regulations

  • Strong knowledge of U.S. payroll tax regulations, as well as benefits administration.

  • Experience reconciling multi-state payroll and tax obligations, with an understanding of the intricacies of PEO-level tax agencies.

  • Excellent problem-solving skills, with the ability to identify and resolve discrepancies in a timely manner.

  • Strong organizational skills and the ability to manage multiple priorities during peak periods, such as quarter-end.

  • Advanced proficiency in accounting software and Excel.

Preferred Qualifications:

  • Experience with PrismHR or similar PEO-specific platforms.

  • Experience with MasterTax or similar Payroll Tax softwares

  • Certified Public Accountant (CPA) or other relevant accounting certifications.

  • Experience working with global payroll systems and reconciling multi-country financials.
