The Project Coordination Assistant will work closely with the Project Manager and Team Lead to ensure the efficient and timely execution of project tasks. This role requires a detail-oriented individual with excellent organizational skills, capable of managing multiple responsibilities that support the overall project management process.


  • Order Tracking and Status Reporting:
  • Monitor and track the status of orders, ensuring timely updates and accurate reporting.
  • Communicate with suppliers and vendors to obtain and verify order information.
  • Maintain an organized record of all order transactions and statuses.
  • Documentation Preparation:
  • Prepare and maintain comprehensive business and technical documentation.
  • Ensure all documents are up-to-date, properly formatted, and accessible to the project team.
  • Assist in the creation of project reports, meeting minutes, and other essential documents.
  • Budget and Planning Support:
  • Assist in the preparation and monitoring of project budgets.
  • Provide support in the development of project plans and schedules.
  • Collaborate with the finance team to track expenditures and ensure budget adherence.
  • Manpower Support:
  • Assist in defining manpower requirements and allocation.
  • Support the recruitment and onboarding process for project team members.
  • Maintain records of project team assignments and availability.
  • Communication and Coordination:
  • Act as a liaison between the Project Manager, Team Lead, and other project stakeholders.
  • Facilitate effective communication and information flow within the project team.
  • Schedule and coordinate project meetings and events.
  • Administrative Support:
  • Provide general administrative support to the project team as needed.
  • Manage project-related correspondence and handle confidential information with discretion.
  • Assist in the development and implementation of project management processes and best practices.


Education: Bachelor's degree in Business Administration, Project Management, or a related field.

Experience: Minimum of 5 years of experience in a project coordination or administrative role.


  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of project management software (e.g., MS Project, Trello, Asana) is a plus.
  • Basic understanding of budget management and financial tracking.
  • Ability to work effectively in a team-oriented environment.
