The Project Coordination Assistant will work closely with the Project Manager and Team Lead to ensure the efficient and timely execution of project tasks. This role requires a detail-oriented individual with excellent organizational skills, capable of managing multiple responsibilities that support the overall project management process.
Tasks
Education: Bachelor's degree in Business Administration, Project Management, or a related field.
Experience: Minimum of 5 years of experience in a project coordination or administrative role.

The Project Coordination Assistant will work closely with the Project Manager and Team Lead to ensure the efficient and timely execution of project tasks. Tasks
- Order Tracking and Status Reporting:
- Monitor and track the status of orders, ensuring timely updates and accurate reporting.
- Communicate with suppliers and vendors to obtain and verify order information.
- Maintain an organized record of all order transactions and statuses.
- Documentation Preparation:
- Prepare and maintain comprehensive business and technical documentation.
- Ensure all documents are up-to-date, properly formatted, and accessible to the project team.
- Assist in the creation of project reports, meeting minutes, and other essential documents.
- Budget and Planning Support:
- Assist in the preparation and monitoring of project budgets.
- Provide support in the development of project plans and schedules.
- Collaborate with the finance team to track expenditures and ensure budget adherence.
- Manpower Support:
- Assist in defining manpower requirements and allocation.
- Support the recruitment and onboarding process for project team members.
- Maintain records of project team assignments and availability.
- Communication and Coordination:
- Act as a liaison between the Project Manager, Team Lead, and other project stakeholders.
- Facilitate effective communication and information flow within the project team.
- Schedule and coordinate project meetings and events.
- Administrative Support:
- Provide general administrative support to the project team as needed.
- Manage project-related correspondence and handle confidential information with discretion.
- Assist in the development and implementation of project management processes and best practices.
Education: Bachelor's degree in Business Administration, Project Management, or a related field.
Experience: Minimum of 5 years of experience in a project coordination or administrative role.
Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of project management software (e.g., MS Project, Trello, Asana) is a plus.
- Basic understanding of budget management and financial tracking.
- Ability to work effectively in a team-oriented environment.
- Attention to detail and a high level of accuracy.
- Proactive and self-motivated with a strong sense of responsibility.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and the ability to think critically.
- Full-time position based in an office environment.
- Occasional travel may be required to support project activities.
