We have a new opportunity for an Office Manager to join our team. You will serve as the frontline representative of our company, responsible for managing all aspects of reception duties with a focus on providing exceptional service to both internal stakeholders and external visitors. Your primary duties will include handling internal and external visits, managing agendas, coordinating travel arrangements, and overseeing shipments.

Tasks

  • Daily office opening and inventory review. Handle stationery and grocery purchases.
  • Greet and welcome visitors in a professional and courteous manner.
  • Manage incoming calls, emails, and correspondence promptly and efficiently.
  • Maintain the reception area's cleanliness and tidiness.
  • Coordinate and schedule internal and external meetings, conferences, and appointments.
  • Prepare meeting agendas and ensure necessary materials are available.
  • Assist with travel arrangements for employees, including booking flights, hotels, and transportation.
  • Manage weekly and monthly internal activities and events with the HR department (birthdays, lunch, breakfast, special occasions…).
  • Coordinate shipments and deliveries, ensuring timely receipt, filing and distribution of packages.
  • Collaborate closely with other departments to ensure smooth operations.
  • Maintain an organized system for visitor sign-ins and badge distribution.
  • Ensure compliance with security protocols and confidentiality guidelines.
  • Respond promptly to inquiries and provide accurate information to visitors and employees.
  • Remain adaptable and proactive in managing unexpected situations and challenges.
  • Work efficiently under pressure and prioritize tasks effectively.
  • Demonstrate a high level of ownership and initiative in executing job responsibilities.


Requirements

  • Fluent in English. French or German are highly valued.
  • Minimum 1 year of experience in a receptionist or administrative role.
  • Exceptional interpersonal and communication skills.
  • Detail-oriented with strong organizational abilities.
  • Assertive and quick-thinking, able to resolve issues promptly.
  • Customer-focused with a proactive and problem-solving mindset.
  • Highly adaptable to changing priorities and dynamic work environments.
  • Ability to work independently and collaboratively as part of a team.
  • Proficient in Microsoft Office Suite and office equipment operation.
  • Professional demeanour and appearance.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
