We are looking for an energetic and proactive Executive Assistant to support our COO. Directly reporting to the COO, you will have full exposure to the COO's core functions that includes: operations management, business development and sales, investor relations and strategy. This position is for someone with a keen ability to anticipate needs, quickly prioritize many tasks across multiple functions, and offer solutions with a high level of professionalism and confidentiality. Job Description

  • Provide calendar management for the COO. Manage the COO’s complex calendar by prioritizing inquiries and requests; make judgements and recommendations, including resolving calendaring conflicts, to ensure smooth day-to-day engagements.
  • Perform various administrative tasks that facilitate the COO’s ability to effectively lead the company. These include: assisting with projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with the team and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
  • Work closely with the COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the COO updated. Anticipate the COO's needs in advance of meetings, conferences, etc.
  • Other projects/duties as assigned for the overall benefit of the company.

Qualifications

  • Significant executive support experience, including supporting C-level executives.
  • Expert proficiency with Microsoft Office or Google Workspace and other productivity tools; ability to design and edit graphic presentations and materials.
  • Basic accounting skills; ability to understand financial reports and data.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including the internal team, customers, vendors and investors.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
