The Role

We are looking for an Executive Assistant and Office Manager. In this role, you will be responsible for providing comprehensive administrative support to our executive team while also providing calendar support to two other execs and overseeing the daily operations of our SF office. This multifaceted position requires a proactive and detail-oriented professional with excellent organizational, communication, people and problem-solving skills.

As a member of the Executive Support and Office teams, you’ll….

  • Manage executive calendars, including scheduling meetings, coordinating travel arrangements, and organizing both personal & professional appointments.

  • Coordinate and support meetings, including preparing agendas, taking minutes, and following up on action items.

  • Maintain office supplies and equipment, and ensure that the office is clean, organized, and welcoming for employees and visitors.

  • Coordinate and own the relationship with any facilities vendors, such as cleaners.

  • Serve as the primary point of contact for internal and external stakeholders.

  • Coordinate and facilitate internal and external meetings, including booking conference rooms, arranging catering, and preparing meeting materials.

  • Assist with special projects and initiatives as assigned by the executive team, providing support and ensuring deadlines are met.

  • Foster a positive and collaborative work environment by building strong relationships with colleagues and stakeholders.

  • Maintain confidentiality and handle sensitive information with discretion and professionalism.

  • Assist as required with the planning and execution of company events and team-building activities.

Who We’re Looking For

  • 3 - 5 years of relevant industry experience, including supporting multiple executives.

  • Experience arranging complex travel, understanding of working in different time zones, executive support and running an office. Additionally, experience with Google Suite, Slack and Notion will be highly regarded but is not essential.

  • Proactive mindset, highly organized, resiliency to changing environments, attention to detail, collaborative, ability to manage multiple competing priorities

Linktree is committed to providing a competitive compensation package. Our cash compensation amount for this role is targeted at $85,000 -$118,000 in the San Francisco Bay area. Final offer amounts are determined by multiple factors including candidate expertise, the scope of role and level, and may vary from the amounts listed above.
