About the role

Rippling is a leading technology company dedicated to innovation and excellence. We are seeking a proactive and tech-savvy Workplace Coordinator to join our team. As a Workplace Coordinator, you will play a crucial role in ensuring the smooth operation of our workplace, with a strong emphasis on managing technology-related responsibilities.

The Workplace Coordinator will join our fast-paced Real Estate and Workplace team. This role will be responsible for a wide range of tasks related to facilities operations and technology support. You will play a crucial role in maintaining and enhancing our workplace facilities to create a positive and efficient work environment. You will be responsible for coordinating a variety of tasks related to facility management, employee services, and workplace safety. The Workplace Coordinator will sit onsite and primarily support our San Francisco office, and may also partner with Rippling’s New York and forthcoming offices in North America.
What you will do

Facility Maintenance

  • Oversee the day-to-day maintenance of the office, including repairs, cleanliness, and appearance.

  • Schedule and coordinate routine maintenance, inspections, and repairs as needed.

  • Manage relationships with external vendors and service providers for facility-related tasks.

Space Planning and Allocation

  • Assist in onsite space planning coordination and allocation to optimize office layout and resources.

  • Coordinate moves, additions, and changes for employees and departments.

  • Ensure compliance with safety and accessibility regulations.

Employee Services

  • Act as the point of contact for employees' facility-related Jira requests and concerns.

  • Manage office supplies, furniture, and equipment inventory.

  • Support office supply, culinary and maintenance logistics

  • Coordinate services such as catering, janitorial, and security as necessary.

  • Support of in office events, celebrations and wellbeing initiatives.

Health and Safety

  • Implement and enforce workplace safety protocols and procedures.

  • Conduct regular safety inspections and report any issues or concerns.

  • Ensure emergency preparedness and response plans are in place and communicated to employees.

Vendor Management

  • Assist in the coordination and performance of our facilities support vendors.

  • Monitor expenses and identify cost-saving opportunities.

Communication

  • Communicate facility-related updates and changes to employees.

  • Collaborate with cross-functional teams to address facility needs and improvements.

First Line of Support

  • Act as the first point of contact for troubleshooting and resolving Zoom Room and Brivo-related issues.

  • Provide timely and effective support to end-users, ensuring minimal disruption to their work.

Vendor Coordination

  • Collaborate with vendors to schedule on-site repairs and maintenance appointments, ensuring all technology equipment is functioning optimally.

  • Maintain strong relationships with technology vendors to expedite issue resolution.

Technology Equipment Management

  • Store, distribute, and track desk peripherals and laptop chargers to ensure they are readily available to employees.

  • Manage printers or coordinate with a designated printer vendor for maintenance and supply replenishment.

Laptop Logistics

  • Handle logistics for laptop orders and returns for in-office employees.

  • Loaner laptop coordination for recruiting / interviews.

Live Zoom Event Support

  • Provide hands-on support for AV equipment used during in-office events, including live Zoom events and presentations.

  • Ensure all technology equipment is in working order and troubleshoot any technical issues during events.

Onboarding and New Hire Support

  • Assist in onboarding processes by helping new hires open tickets for software and hardware requests when their manager is unavailable.

  • Collaborate with IT and HR teams to ensure a seamless onboarding experience for new employees.

What you will need
  • Ability to come into the SF office 5x/week with occasional flexibility
  • 2+ years of experience in a similar role, preferably in a technology company or fast-paced environment.
  • Strong technical aptitude and familiarity with Google Workspace, Slack, Robin, Zoom, Brivo, Jira/Confluence, and other workplace technology solutions.

  • Excellent problem-solving skills and the ability to troubleshoot technical issues independently.

  • Strong organizational and coordination skills, with attention to detail.

  • Effective communication and interpersonal skills, with a customer-focused approach.

  • Ability to work well in a team and collaborate with cross-functional teams.

  • Proactive, self-motivated, and adaptable to changing priorities.
