Company Overview

Apple Intelligence and Google Gemini are about to onboard 4 billion people to voice assistants that actually talk like people. This marks a new beginning for voice as the world’s default interface. We will all want voice everywhere. Businesses are not ready. Products are not ready.

We launched in March, scaled revenue, and raised this past week. We’re a small team of 6 and growing. We're building out the founding team in-person in SF to scale what’s working.

Mission

The Chief of Staff will act as a second thread for the CEO. Given the company’s top priorities, they will track their progress, identify blockers, and will do the grunt work and build systems to ensure they’re achieved. Currently, the company’s top priorities are enterprise sales and recruiting. You’ll also be a foundational part of how we build the culture at Vapi.

Outcomes

Bear in mind, these will change as company priorities change and new hires for these functions come on board. This role is doing everything the current team doesn’t have capacity for.

  1. Take point on recruiting operations in the first 7 days
    1. Build system for tracking recruiting funnel for all roles
    2. Identify candidates, outbound, schedule interviews, draft contracts
    3. Coordinate external recruiters and recruiting agencies
  2. Take point on sales back-office operations in the first 14 days
    1. Track all “next moves” in sales funnel and ensure they get carried out
    2. Draft pilot proposals, commercial proposals, and coordinate redlines with legal
  3. Take point on all business operations in the first 30 days
    1. Draft invoices to customers and follow-up on late payments
    2. Onboard new hires and customers
  4. Take point on all CEO operations in the first 60 days (will be offloaded to EA eventually)
    1. Condense email volume down to a set of decisions to be made, present them to the CEO, and carry them out
    2. Take point on tracking all post-meeting action items and deliverables
    3. Manage calendar and scheduling

Qualifications

  • Previous/current consulting experience at top-tier McKinsey, BCG, etc.
  • Prior experience with startups or a good reason to join one
  • Has experience using LLMs to optimize business processes
  • Has a technical background / education / experience with technical companies
